Position Summary

The Administrative Assistant III team member, through a wide variety of specialized and administrative functions, will work to support their direct manager (or team) through service excellence.

Duties & Responsibilities

  • Act as an experience coordinator for the floor to ensure a positive experience for associates, clients, and third parties
  • Coordinate and communicate meetings for internal/external customers in multiple locations
  • Acting on behalf of direct manager; provide general information to clients; refer questions and issues to appropriate staff or department for further information and problem resolution
  • Order and maintain office supplies and current marketing materials
  • Assist teammates; cover other duties during vacations
  • Manage scheduling and expense reporting for fleet drivers
  • Schedule and set-up internal meetings/conference calls/catering as required
  • Act as liaison for office facilities and maintenance issues
  • Maintain order and cleanliness of meeting rooms and common areas of 4FBC
  • Act as liaison for vendors and ensure payment of office-related invoices
  • Create internal/external correspondence using Outlook and Microsoft Office products (Excel, PowerPoint, Word, etc.) as well as create correspondence and/or log activities in client management system
  • Ad-hoc reporting/projects

Education & Experience

Knowledge of:

  • Strong oral and written communication skills
  • Adept in technology; Microsoft Office Suite, Outlook, Ultimate Software, Chrome River, Synapsys, et

Ability to:

  • Anticipate needs
  • Stellar time management skills and the ability to identify resources in all areas of the bank
  • Use keen judgement and discretion
  • Multi-task and work independently
  • Perform duties and make decisions under frequent time pressures

Education and Training:

  • Requires a High School diploma, an associate degree is preferred
  • 1-2 years of experience supporting an individual (typically a supervisor or manager) required

Benefits and Compensation

Salary offered is based on factors, including but not limited to, the job duties, required qualifications and relevant experience, and local market trends. The role may be eligible for bonus or incentives based on company and individual performance.

(Base Pay Range: $20.50 - $26.50 /hour)
